Woodfield Academy is a very successful and popular 5-form entry middle school with over 500 pupils on roll, aged 9-13 years. We are a happy, vibrant learning community, with high aspirations for the children in our care and the staff team that supports them. We have strong links to the community, other schools and in particular, our wider pyramid, or ‘family of schools’.

Purpose:

To support teaching and learning within the Academy by providing high quality secretarial, administrative and clerical support to the SEN Department. To work flexibly with the Special Educational Needs Coordinator (SENCo) to ensure a coherent approach to the school’s inclusive culture.

Duties and responsibilities:

  1. Provide efficient and effective secretarial, administrative and clerical support to the SENCo and the SEN team. This will include utilising the software package Microsoft to undertake daily administrative tasks and the specialist ICT package SIMS to manage SEN data. Also handle and follow up email enquiries. Show a flexible approach to new technologies and a willingness to learn how to use new packages.
  2. Proving an effective telephone service by acting as the first point of contact, screening and signposting as necessary. This will require liaison with teaching/support staff, parents, students, county staff and other external agencies.
  3. Responsible for the monitoring and organising of Annual Reviews for Education Health Care (EHC) plans, new EHC applications and Statement to EHC transfers: inviting in parent(s) and agencies; collating teacher comments; recording student/parent views. Completing all associated paperwork.
  4. Maintaining records of Pupil Profiles and Individual Provision Maps. Centralising records of SEN termly reviews.
  5. Holding central and maintaining records of SEN interventions, groups and clubs.
  6. Regularly updating the SEN register where necessary and as directed by the SENCo.
  7. Create SEN letter templates. Writing and distribute letters as required.
  8. Greet and receive visitors to the SEN Department and provide hospitality where requested.
  9. Sort and initiate responses to incoming SEN post and emails. Update SENCo and/or draft replies as requested.
  10. Ensure that the SENCo’s diary commitments (paper and electronic) are frequently updated, checking details of appointments and reminding of commitments.
  11. Set up, where required, and maintain, the SENCo’s filing system (paper and electronic). Ensuring that the systems are kept up-to-date and accurate. Maintain confidential student files.
  12. At the request of the SENCo, provide information for the Academy census return and nominal roll.
  13. Assist in the preparation of information for OFSTED inspections, Academy evaluations and any similar visits.
  14. Ensure the maintenance of all resources for the SEN Department by checking resources in and out. In addition to complete orders and keep accurate records of resources to facilitate the effective management of the SEN budget. Where necessary identify trends related to resources going out and keep SENCo informed.
  15. Organise SEN seminars, conference, training, including booking venues, equipment, speakers, refreshments etc. Arrange and reproduce paperwork and associated literature as required.
  16. Minute meetings internally and externally when required and distribute to all attendees. Act upon action points raised, as appropriate.
  17. Manage the administration requirements for transitions from First School and to High School.
  18. Undertake training and development agreed during performance reviews as directed by the SENCo.
  19. Undertake any other duties and responsibilities with the range of the role and salary grade.
